How Billing Works in BeWo

BeWo follows a subscription-based billing model designed for clarity and scalability. Users pay for a chosen tier, which grants specific features and includes a monthly allowance of lines. Beyond this allowance, overage charges apply. Additionally, historic data can be purchased separately, providing retrospective analysis without affecting the standard monthly line limit. Below is an overview of these key components.

Subscriptions and Payment Options

After any trial period, you may activate a paid subscription:

  • Annual Payment: Pay upfront for the year, at a discounted rate.
  • Monthly Payment: Pay on a month-to-month basis.

All subscriptions are paid in advance—whether monthly or yearly.

Tiers of Subscriptions

Each subscription tier determines:

  • Features & Access: Higher tiers include advanced AI-driven invoice parsing, specialized integrations, or enhanced reporting.
  • Monthly Lines: The number of lines included each month. These lines represent the AI’s work on classifying or interpreting entries from your ERP or finance system.

Commitment: Subscriptions are effectively a line commitment—you can process up to the plan’s monthly line limit without additional cost.

Lines and Overage Billing

Line Basics

A line is a record processed by BeWo’s AI to extract or classify information for carbon accounting. Examples:

  • A line item in a vendor invoice
  • A single expense entry in the ERP system

Only lines processed by BeWo's AI is counted towards the monthly line limit. This means that manually added lines and lines from for example the ElOverblik integration is not counted.

Handling Overages

If your monthly usage exceeds the plan’s line limit:

  1. Overage Charges: Each line above the limit is billed at a per-line rate.
  2. Usage Monitoring: The platform tracks line usage in real time, helping you anticipate potential overages.
  3. Plan Upgrades: If overages become frequent, you can upgrade to a higher-tier plan with a larger monthly line allowance.

Historic Data Packages

Beyond ongoing monthly usage, some organizations require retrospective carbon accounting—covering past financial years. Historic data packages can be purchased separately to accommodate these needs:

  • Separate Purchase: Historic data packages are not included in the standard monthly line allowance; they must be bought independently.
  • Fixed Amount of Years: Each package covers a defined set of past years.
  • No Impact on Monthly Line Limit: Processing these historic lines does not count toward your regular monthly line allowance.
  • Price Tied to Subscription Plan: The cost of a historic data package depends on your active plan tier, reflecting the features and processing capabilities available at that level.
  • Bulk Discounts: Purchasing packages for multiple historical years confers discounted rates, supporting broader retrospective analysis at a lower total cost.

Subscription Lifecycle

Activation

Once you select a tier and a billing cycle (annual or monthly), you pay in advance for access to:

  • Platform Features (aligned with your subscription tier)
  • Monthly line limit (with potential overage fees if exceeded)

Renewal and Changes

  • Renewals: Occur automatically for both monthly and annual plans.
  • Upgrades: If usage consistently exceeds your line limit, upgrading can reduce overage costs.
  • Historic Data Purchase: At any stage, you can buy historic data packages to cover retrospective years as needed.

Managing Your Subscription

Within the Admin Panel, you can:

  • View Current Plan: Check tier, monthly line limit, and renewal date.
  • Track Usage: Real-time monitoring of how many lines have been processed.
  • Purchase Historic Data: Acquire one or more years’ worth of data for retrospective analysis.
  • Adjust Billing Details: Change payment methods and other billing information such as VAT information.

Implementation Scenario

  1. Select a Subscription Tier: Suppose you choose an annual plan that provides 5,000 lines per month.
  2. Monthly Usage: If you process 6,000 lines in a given month, you pay for the extra 1,000 lines at the overage rate.
  3. Historic Data: You decide to analyze the past 2 years. Purchase a “2-year historic data package,” which allows you to process those older lines without affecting your standard monthly line limit.
  4. Plan Upgrade: If you frequently exceed 5,000 lines, upgrading to a higher tier might reduce overall costs and simplify monthly billing.
